Cancellation Policy

We understand that plans can change, and we strive to make our cancellation policy as fair and transparent as possible. Because each expedition requires advance reservations for accommodations, transportation, flights, activity providers, permits, and staffing, cancellation fees increase as the departure date approaches. Our goal is always to work with families whenever possible while ensuring we can continue to provide safe, high-quality expeditions.

Reservation Deposit

A $500 USD non-refundable deposit is required to reserve each participant's place on an expedition. This deposit secures your reservation and covers the administrative costs and initial reservations made on your behalf.

Participant Cancellations

All cancellation requests must be submitted in writing. Refunds are based on the date written notice is received.

  • More than 120 days before departure: Refund of all payments made, less the non-refundable $500 deposit.

  • 90–119 days before departure: 75% refund of all payments made, less the non-refundable deposit.

  • 60–89 days before departure: 50% refund of all payments made, less the non-refundable deposit.

  • Less than 60 days before departure: No refund.

If airline tickets or other non-refundable reservations have already been purchased on your behalf, those costs may also be deducted from any applicable refund.

Participant Transfers

If a participant is unable to attend, we will make every reasonable effort to transfer the reservation to another eligible participant. Transfers are subject to availability and may not be possible for services such as airline tickets, PADI certification registrations, or other non-transferable reservations.

Minimum Enrollment

Each expedition requires a minimum of 10 student participants to operate. If minimum enrollment is not reached, Yuma Co. reserves the right to cancel the departure. In this event, participants will be offered the option to transfer to another available departure or receive a full refund of all payments made to Yuma Co.

Expedition Cancellation by Yuma Co.

If an expedition is cancelled or significantly impacted due to events beyond Yuma Co.'s reasonable control, including but not limited to severe weather, natural disasters, government actions, or other force majeure events, Yuma Co. will make every reasonable effort to recover refundable costs from suppliers and pass those refunds on to participants. We strongly recommend comprehensive travel insurance to protect against these unforeseen circumstances.

Itinerary Changes

While every effort is made to operate each expedition as published, Yuma Co. reserves the right to modify accommodations, transportation, activities, or the order of the itinerary when necessary due to weather, safety considerations, local conditions, or other circumstances beyond our control. Any changes will always be made with participant safety and the overall quality of the experience in mind.

Travel Insurance

We strongly recommend that every participant purchase comprehensive travel insurance before departure. Your policy should include international medical coverage, emergency medical evacuation, and trip cancellation or interruption benefits. Because our expeditions include activities such as scuba diving and whitewater rafting, families should ensure these activities are covered under their policy.

Participant Conduct

Yuma Co. reserves the right to remove any participant whose behavior places themselves or others at risk, violates local laws, or significantly disrupts the expedition. In these situations, no refund will be provided, and any additional transportation or related expenses incurred as a result of the participant's removal will be the responsibility of the participant or their family.

We believe in treating our participants with fairness and transparency. If unexpected circumstances arise before your expedition, we encourage you to contact us as early as possible so we can discuss the options available and work toward the best possible outcome.
